Workflow Efficiency & Task Scoring System




Identified a recurring friction point in the production pipeline — Producers were assigning tickets and tasks to designers without a clear understanding of how long different show types actually take to produce. With Radio, Playlists, DJ Mixes, and SearchBricks all carrying significantly different production demands, workloads were difficult to gauge and even harder to balance.




To solve this, I designed a difficulty scoring system rated 1 through 4, where 1 represents the quickest tasks to produce and 4 represents the most time-intensive. Each score accounts for multiple variables — the number of applications required to complete the task and the overall time investment needed to see it through. The system was compiled and organized in Airtable, then shared directly with the Producers team.
The result was an immediate improvement in workload visibility. Each show ticket now carries a difficulty score, giving Producers a simple and reliable way to assess a designer's bandwidth at a glance — the higher the sum of a designer's radar bucket, the fuller their plate. This eliminated the guesswork that had previously made it difficult to distribute work fairly and efficiently.
The impact didn't stop with the design team. The scoring system was later adopted and adapted across other teams, including Retouchers and QA, creating a standardized language around workload capacity that benefited the broader production org.
